IJF ACADEMY PRIVACY POLICY

We consider the privacy and the protection of the data we use as a very important matter, and we do our best to comply with the regulations of the EU Commission in this field. The processing of personal data, such as the name, address, e-mail address, or telephone number of a data subject shall always be in line with the General Data Protection Regulation (GDPR).

The purpose of this Privacy Policy is to describe how IJF Academy collects, uses and shares information about you through our online platform (e.g., website and mobile application) owned and controlled by IJF Academy, including academy.ijf.org Please read this notice carefully to understand what we do. 1. COLLECTION AND PROCESSING OF PERSONAL DATA AND INFORMATION

In general, You can visit the website without providing personal information. However, information is generally requested when you wish to take part in certain activities available on the Platform. In such cases, you may be invited or required to provide information about yourself such as full name, country of residence, nationality, photos, driver’s license, government issued identify document, home address, email address, and/or chosen password. By providing IJF Academy with your personal data, you expressly authorize IJF Academy, its partners, subcontractors and/or affiliates to collect and subsequently process such data in accordance with the terms defined herein.

The following IJF Academy privacy policy provides indications regarding the privacy rights of our users how we handle the personal information in our activities. This privacy policy is using the terms of the European legislator for the adoption of the General Data Protection Regulation (GDPR), as defined below:

Account registration: if you register for an account on our Platform, you may be required to provide us with personal information such as your name and email address.

Communications with IJF Academy: we may receive personal information when you send us an email message or otherwise contact us.

Data controller or controller responsible for the processing: the data controller or controller responsible for the processing is the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law.

Data subject: data subject is any identified or identifiable natural person, whose personal data is processed by the controller responsible for the processing.

Forums: IJF Academy provides forums in every subject where you can share comments and thoughts.

Government authorities, legal rights and actions: IJF Academy may share your personal information with various government authorities in response to subpoenas, court orders, or other legal process; to establish or exercise our legal rights or to protect our property; to defend against legal claims; or as otherwise required by law. In such cases we reserve the right to raise or waive any legal objection or right available to us. We also may share your personal information when we believe it is appropriate to investigate, prevent, or take action regarding illegal or suspected illegal activities; to protect and defend the rights, property, or safety of IJF Academy, the platform, our users, customers, or others.

Identity verification: IJF Academy may offer you the ability to verify your identity. In order to enrol for these services, you may be required to provide us or our third-party identity verification vendor personal information such as your name, address, date of birth, a headshot taken using a webcam, and a photo identification documents.

IJF Academy business partners: we may share your personal information with IJF Academy partners. Those partners may include but not limited to server providers, programming services and course management entities. We use various service providers, vendors and contractors to assist us in providing our services to you. Our contractors may have limited access to your personal information in the course of providing their products or services to us, so that we in turn can provide our products and services to you. These contractors may include vendors and suppliers that provide us with technology, services, and/or content related to the operation and maintenance of the platform. Access to your personal information by these contractors is limited to the information reasonably necessary for the contractor to perform its limited function for us.

Participation in online courses: IJF Academy offers users the opportunity to participate in an online course in the Platform. If you desire to participate in a course, you will be asked to provide us with certain information necessary to conduct such a course. This information may include, among other things, your name and email address. If you participate in an online course, we may collect from you certain student-generated content, such as assignments you submit to instructors, and student feedback. We also collect course data, such as student responses to in-video quizzes, standalone quizzes, exams, and surveys.

Personal data: personal data means any information relating to an identified or identifiable natural person (“data subject”). An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to that person.

Processing: processing is any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

Third party credit card processing: IJF Academy may provide you with the ability to pay for online and other services using a credit card through a third-party payment processing service provider. Please note that our service provider – not IJF Academy – collects and processes your credit card information.

You also agree that IJF Academy may implement an automatic tracking process gathering anonymous information, such as browser type, operating systems and the date and time of access when you use the Platform to help improve the content of the Platform, to customize the Platform for our visitors and to learn more about them and how they use the Platform.

3. USE OF COOKIES

IJF Academy uses cookies to store visitors' preferences and to record session information, for purposes including ensuring that visitors are not repeatedly offered the same advertisements and to customize newsletter, advertising and webpage content based on browser type and user profile information. You may be able to configure your browser to accept or reject all or some cookies, or to notify you when a cookie is set (each browser is different, so check the "Help" menu of your browser to learn how to change your cookie preferences). However, you must enable cookies from IJF Academy in order to use most functions on the Platform. Please note that IJF Academy allows third party advertisers that are presenting advertisements on some of our pages to set and access their cookies on your computer. Advertisers' use of cookies is subject to their own privacy policies, not the IJF Academy Privacy Policy.

4. RIGHT OF ACCESS

At any time, you may request access to your personal data and to request a correction of any erroneous or incomplete data about you by contacting IJF Academy at the following address academy.ijf.org. You can also update your personal data at any time by accessing your user account. It is your responsibility to verify that your personal data is accurate and updated. In case, you notice that some of your personal data is inaccurate or obsolete, it is your responsibility to notify IJF Academy.

5. PURPOSE OF THE COLLECTION AND PROCESSING OF PERSONAL DATA

Pursuant to this Privacy Policy, IJF Academy will collect and process your personal data solely for the following purposes:

1.     registration for your use of the Platform;

2.     allowing your participation in the courses, exams and/or programs offered via the Platform;

3.     authenticating or verifying Your identity;

4.     allowing you to interact with other users of the Platform and post user-generated content on the Platform;

5.     maintaining and developing the Platform;

6.     compiling statistics in order to improve the quality of the services offered to users; and/or

7.     other purposes as defined from time to time.

6. COLLECTION OF PERSONAL PHOTOS

You hereby expressly acknowledge that, in order to complete courses and obtain certificates, You might be requested to allow the Platform’s software to access your webcam and take pictures of yourself in the act of taking aims, questionnaires and/or tests. This monitoring functionality is exclusively aimed at guaranteeing the integrity, credibility and security of your exams. The course instructors, teachers and/or other professionals have the right to access and check these photos in connection with your exams. IJF Academy will retain your photos only as long as necessary for the purposes stated above. 

7. HOSTING AND TRANSFER OF PERSONAL DATA

IJF Academy is based in Malta and all personal data you submit to IJF Academy will be hosted in that State, or in a State of the European Union. By registering to the Platform, you accept that IJF Academy may transmit your personal data to its subcontractors, including outside of the European Union, if IJF Academy deems it necessary for the purposes mentioned in Article 5. IJF Academy will take all necessary measures to ensure that the receiving entity has agreed to keep your data confidential and secure. If the level of privacy protection in a country does not comply with internationally recognized standards, IJF Academy will ensure that data transfers to databases in that country are equally protected and that a transfer of data to third parties in such countries does not occur. IJF Academy and its subcontractors reserve the right to release your personal data if required under law to do so or based on the good-faith belief that such release is necessary to comply with applicable legislation.

8. DATA SECURITY

IJF Academy is committed to ensure the best possible level of security of your personal data and will take adequate technical and organizational measures to protect your data against the risks of damage, destruction, loss or unauthorized access. We consider the confidentiality and security of your information to be of the utmost importance. We will use industry standard physical, technical and administrative security measures to keep your personal information confidential and secure and will not share it with third parties, except as otherwise provided in this Privacy Policy, or unless such disclosure is necessary in special cases, such as a physical threat to you or others, as permitted by applicable law. Because the Internet is not a 100% secure environment we cannot guarantee the security of personal information and there is some risk that an unauthorized third party may find a way to circumvent our security systems or that transmission of your information over the Internet will be intercepted. It is your responsibility to protect the security of your login information. Please note that e-mails communications are typically not encrypted and should not be considered secure.

The server that stores information, including your personal information as well is located in Hungary, hosted by VTL Design Ltd. (1037 Budapest, Laborc köz 9.)

9. DATA RETENTION

IJF Academy will retain your personal data only as long as necessary for the purposes set forth under Article 5 above. Please note that data may be kept for a longer period of time exclusively for mere statistical purposes and IJF Academy shall use anonymous data wherever possible.

10. SPAMMING

IJF Academy will not engage in spamming and will not authorize the use of your personal information for commercial or advertising purposes by third parties, except with your express consent. Where we believe that certain information about the IJF Academy is of importance to you, we inform you by e-mail whilst giving you the choice of opting out of such service.

11. AMENDMENT OF THIS PRIVACY POLICY

IJF Academy reserves the right to change any of the terms and conditions contained in the present Privacy Policy, at any time and in its sole discretion. When changes are made, the last updated version will be effective immediately upon posting on the Platform. Your continued use of the Platform following the posting of changes will constitute your acceptance of such changes. IJF Academy encourages you to review the Platform Terms of Use and Privacy Policy periodically to be informed of any change.
